Use the Production Grid

Use the Production Grid features to open the Overview tab of an RO, open the Mega Card for an RO, or print Report #86. You can also assign technicians, print Report #86 RO Status, and save the Production Grid as a CSV.

How to

Go directly to the Overview tab for an individual RO.

  1. On the Production Grid, double-click anywhere on the RO row except in the Department column (the Department column opens the Mega Card).
  2. The Overview tab opens for the selected RO. Use the navigation tabs to view additional information about the RO.

Open the MegaCard directly from the Production Grid. The MegaCard provides a quick view of expected repair time, vehicle location by department, and notations.

  1. On Production Grid, click the Department column for the desired RO. the Mega Card opens.

  2. Use the Mega Card to enter notes, change vehicle location, or view the work order as needed. Click Cancel or Save and Close to return to the Production Grid.

Assign technicians directly from the Production Grid without navigating to the Assign Technician tab for each repair order. Use the Production Grid to assign remaining hours under any labor category of any repair order to technicians based on hours or percentage.

Note: Partial or Over labor hours assignments are not permitted from the Production Grid.

  1. On the Production Grid, select the desired repair order, and then click Assign Technician.

  2. On the Assign Technician window, select the labor type in the Labor Type section. All technicians configured for that labor type appear in the Tech Assignments section.

  1. Click the check box next to the technicians you want to assign.

  2. Use the Percentage and Hours fields to allocate labors hours as needed.

  3. Do one of the following:

  • Click Assign and Close if complete.

  • Click Assign if you want to assign additional labor categories, and then click Assign and Close when complete.

The Department Summary provides quick access to the number of jobs, labor hours, and total sales amount for each department. This feature allows you to access department summaries directly from the Production Grid without going back and forth between the Vehicle Location and Production Grid tabs.

  1. Do one of the following:

  • Click the arrow under the Jobs folder in the toolbar, and then click Production Grid.

  • Click the Repair Orders tab, and then click Production Grid.

  1. On the Production Grid, click Department Summary.

  2. Scroll down to view different departments configured on the Shop (see Departments for department configuration).

  3. Click Close to close the Department Summary window.

Generate Report #86 RO Status directly from the Production Grid. The report provides a paper worksheet for updating status across all jobs to confirm that the vehicle is moving through the repair process in a timely manner. If you activate filters before printing the report, the filters are applied to the report.

  1. Above the Production Grid, click Print.

  2. The report appears in a new window. Click the print icon at the top of the window to print the report.

    Note: Only at risk jobs will print on the RO Status Report #86 if the At Risk filter is activated.

Save the information on the Production Grid as a CSV for use in Excel. If you activate the filters before printing the report, the filters are applied to the report.

  1. Right-click anywhere on the Production Grid.
  2. Click Save all as CSV.

  3. Follow the prompts and browse to a location on your computer to save the file.

Reference

Column Description
Department The Department the vehicle is currently in based on the Vehicle Location tab. Click this column to view the Mega Card. Jobs labeled At Risk are highlighted in yellow in this column.

RO

The repair order number.

Last, First

The primary contact person's name.

Year, Make, Model

The basic vehicle information.

Due In

The date and time the vehicle is scheduled to arrive at the shop for repair.

Due Out

Date and time the vehicle is scheduled to be returned to the customer.

Total Labor Hours

Total labor hours on the repair order including non-estimate lines.

Risk

At Risk alert if the vehicle is in a department for longer than the threshold you set. Threshold is set in Configuration based on the percent of the estimate labor hours for the departments Due Out time.

On Schedule: Within the percentage threshold you set.

At Risk: At risk for being late. Outside the percentage threshold.

At Risk jobs are highlighted in yellow in the Department column as well.

Lead Tech

The technician that was configured in the Labor tab to be the Lead Tech.

Tech Body The technician assigned to the Body lines in the estimate. If multiple technicians were assigned, the word Multiple appears in the column.
Tech Paint The technician assigned to the Paint lines in the estimate. If multiple technicians were assigned, the word Multiple appears in the column.
Tech Mech The technician assigned to the Mech (mechanic) lines in the estimate. If multiple technicians were assigned, the word Multiple appears in the column.

Parts Ordered

Parts Ordered. A Yes in this column means that all parts have been ordered, and a No means that they haven't.

Insurance

The insurance company handling the claim.

Estimator

The estimator's name.
On Hold Indicates if the Repair Order is on hold. Yes if on hold, and No if not on hold.
Production Notes Production notes entered, usually on the Internal Notes field on the Mega Card.

Hat

Identifier for the vehicle (often a magnetic, cone-shaped "hat" placed on the vehicle's roof).
