Manage

Use the Manage section of created opportunities or repair orders (ROs) to view and enter information about the primary contact's notification preferences, including advanced notification preferences.

Set up automated text message updates of a vehicle's repair status to the owner (if your shop is licensed for the text message update package) and assign employees the task of notifying customers.

How to

  1. Create and save an opportunity.
  2. Open the opportunity or repair order you want to work in.
  3. In the open opportunity or repair order, click the Admin tab.
  4. Under Manage, click Notification Advanced Preferences.

  5. In the Advanced Preference dialog box, select or modify the primary contact's notification preferences.

    Note: For descriptions of notification preferences, see "Window components – Advanced Preference dialog box" later in this topic.

  6. Click the Update button to save your work (or click Cancel to return to the Admin tab).
  1. Open the opportunity or repair order you want to work in.
  2. In the open opportunity or repair order, click the Admin tab.
  3. Verify that the Contacts section includes a mobile number for the vehicle owner (required for text message updates).
  4. Under Manage, click the Edit arrow.
  5. Under Customer Communication, select the Text message to mobile check box.
  6. In the Customer Approval Required message, click Yes.

    Note: Text message updates require the owner's permission. Normal message rates apply, and the owner can reply STOP to any text message to stop receiving the updates.

  1. Open the opportunity or repair order you want to work in.
  2. In the open opportunity or repair order, click the Admin tab.
  3. In the Manage section, click Notification Advanced Preferences.
  4. In the Advanced Preference dialog box, select the Assign Task To check box.
  5. In the Employee list, click the name of the employee you're assigning the task to.
  6. Click the Update button to save your work.

Component Use

Accounting Id

Enter the accounting identification number created for the customer in the Accounting package.

Notification Advanced Preferences

Click to set additional notification preferences for the primary contact. Additional notification preferences include an alternate contact, how the primary contact is notified and how often, and the shop employee responsible for making the notification.

Text message to mobile

Select this check box to enable text message updates to the vehicle owner.
Component Use

Assign Task To

Assign a shop employee the task of notifying the primary contact. Select the check box, and then click the arrow to choose a name.

First, Last Name

Type the name of someone other than the primary contact who can be contacted about the vehicle (such as the primary contact's spouse).

First Priority/Second Priority/Third Priority

Click the arrow in each Priority list to choose a notification method. The order you choose (first, second, third) determines the order in which your shop uses each method to contact the customer.

Note: The primary contact's cell phone number links to two notification methods: Cell Phone and Text Message (use Cell #). Select Cell Phone to indicate that the notification method is a phone call. Select Text Message (use Cell #) to indicate that it's a text message.

Home/Work/Cell/E-mail

The available notification methods for the primary contact. These fields are read-only, but can be edited in the Contacts section of the Admin tab.

Time/Status

Do one of the following to specify whether time or repair status causes a notification to the primary contact:

  • Click Time, and then click the Time arrow to choose how often the primary contact is notified.
  • Click Status, and then select the repair stages at which the customer receives notification.
