Contacts

Use the Contacts section to view and enter administrative information about the people related to the opportunity or repair order (owner, insured, claimant).

Primary Contact Default

When an opportunity is added in RepairCenter, the default Primary Contact is the owner. Most opportunities are created in an estimating system. When an estimate is written, the default Primary Contact is as follows:

  • If the Owner exists, the Owner is the Primary Contact regardless if the Insured and Claimant are present.
  • If Claimant and Insured exists, (but no Owner) the Claimant is the Primary Contact

How to

  1. In the open opportunity or repair order, click the Admin tab.
  2. On the Opportunities list, double-click the opportunity to open the Admin page.
  3. In the Contacts section, click Add Contact, and then click the type of contact (insured or claimant) you want to add. A subsection for the new contact appears.

  4. Enter information as needed.
  5. Click Save.

  3. In the Contacts section, click the Edit arrow by the contact that you want to delete.
  4. Click Delete Contact.
  5. In the confirmation message, click Yes.

  3. Click the Edit arrow by the information you want edit.
  4. Add, modify, or delete information as needed.
  • At any point before saving, you can click CancelOpp. List to discard unsaved changes and return to the List View tab or Whiteboard tabOpportunities list.
  1. Click Save to save your work. You can also click Save & Send to save your changes and send the revised opportunity to the shop.

    Note: Sending the revised opportunity to the shop overwrites the shop's version of the opportunity.

  1. In the open opportunity or repair order, click the Admin tab.
  2. On the Opportunities list, double-click the opportunity to open the Admin page.
  3. In the Contacts section, click the star next to a contact (owner, insured, or claimant) to make that person the primary contact.

Component Description

Add Contact

Optional: You can add two additional contact types: insured and claimant.

One contact can be more than one contact type (for example, John Smith might be both owner and insured).

Once all available contact types are added, this button appears dimmed and is unavailable.

Business

This check box indicates that the contact is a business. If the contact is an individual, leave this check box clear.

Company Name

The name of the business.

This box appears only if the Business check box is selected.

Contact Address

The contact's address and apartment, unit, or suite number, if applicable.

The city, state, and ZIP code.

Note: If Canada is the selected country, Province and Postal Code replace State and Zip Code.

The country (the default is USA if the shop is NOT configured for Canada).

Contact Methods

Each contact can have up to four contact methods:

  • Mobile (cell) phone number (required for the owner if you want to enable text message updates)
  • Home phone number and extension, if applicable
  • Work phone number and extension, if applicable
  • Email address

Note: RepairCenter uses CIECA files to transfer data from various estimating systems. CIECA files do not include a field for mobile phone numbers into RepairCenter. If you want to transfer a mobile phone number, enter the mobile phone number in the Fax number field in your estimating system.

Copy From

You can copy all information from one subsection (Owner, Insured, Claimant) to another.

Until there is more than one contact, this button appears dimmed and is unavailable.

Delete Contact

Delete the contact. You can delete the insured and the claimant, but not the owner.

First Name, Last Name

The owner, insured, or claimant's name (depending on which subsection this information is under).

Preferred

The star for the preferred method is blue. The other stars are white.

Primary Contact

The star for the primary contact is blue and displays as "Primary Contact." The other stars are dimmed.

Note: When the primary contact's name is saved, the section header includes the name. Until then, the header displays only "Contacts."
