Shop Clock Setup

The Shop Clock is a licensable option for all RepairCenter packages except RepairCenter Premiere, which automatically includes Shop Clock as a standard option.

The Shop Clock can be used with any computer that has RepairCenter installed. You simply need to add the Shop Clock icon to the desktop.

ClosedTo configure your Shop Clock

  1. Click More , then click Configuration . Select the Production tab, and then click Shop Clock.
  2. Set the following options according to your shop's policies.
  • Allow Techs to clock in to any job. If selected, when a technician logs into Shop Clock, he/she can click All to see all the jobs in the shop. This option allows technicians to clock in to any RO that is not specifically assigned to them. In the Employee Setup, you can configure an individual employee to only clock into his or her assigned jobs.
    Selecting this option enables the following two options:
    • Automatically assign labor to first tech to clock in to an unassigned labor type.
    • Allow Techs to Assign Lines. If selected, technicians can check off lines using the Assign Lines button in Shop Clock.
  • Allow Techs to Mark Lines as finished. If selected, technicians can indicate which lines of the Work Order have been completed. The finished lines appear in RepairCenter with a Y in the finished column of the Assign Technicians tab.
  • Automatically flag Flat Rate and Commission techs when they press the Finish Job button. If selected, Flat Rate and Commission techs will have their time automatically flagged when they click Finish. In addition, the RO is removed from the list of ROs that the technician is working on. When enabled, if the Finish job button is used, a technician will not be allowed to clock back in to that labor type for any reason.
  • Don't require a password. If your shop's policy is that techs and other employees do not need to enter a password to access the Shop Clock, select this check box. Otherwise, they will be required to enter a password before they can open the Shop Clock.
  • Print the classic Work Order report format. If you are a former ABS user and would like to continue using the ABS format for a Work Order report, select this check box.
  • Prompt for vehicle location on Clock In or Clock Out of a repair order. This setting is available only if Production is licensed. If you are a new RepairCenter user, this check box will not be selected, by default. If you are a RepairCenter user updating from a previous version, this check box will automatically be selected. With this option selected, a tech is prompted to enter the vehicle's location whenever clocking in or out of a job. If this option is not selected, the technician will have the option to move the vehicle by clicking the Vehicle Location button.
  • Maximum shift length. This setting can be used to detect if an employee forgets to clock out at the end of a shift. After the maximum shift length has expired, the employee can no longer Clock Out of that activity. The Shop Clock will have automatically set their Actual Hours to zero, where it will stay until corrected. A manager must do a manual correction to pay the employee for that shift.
    This setting can be disabled by setting the shift length to any arbitrary large number, such as 99 hours.
    Note: If an employee forgot to clock out one day, he/she can still clock in to new jobs the next day, including the job they forgot to clock out of. Only the worked hours for the day he/she did not clock out are affected by this setting.
  • Business days per week. Enter how many days a week the shop is open for business. If the Scheduling module is licensed, the number of days per week will be used to determine when to schedule a vehicle to come in to the shop.
  • Non-RO Activities. For non-technicians, and for technicians who are performing work not associated with a specific RO, they can log their hours in Non-RO Activities. See below for instructions on adding and editing this list. Example: Shop Maintenance, Parts Pickup/Delivery, Customer Pickup/Delivery, Shop Cleanup, etc.)
  1. Click Update to save your settings. When you leave this tab, you will get a message to restart RepairCenter to apply the changes. If you have additional configuration settings to add, click No until all your configuration changes have been completed. Then, when the message appears again, click Yes.

ClosedTo set up Non-RO Activities

  1. Click More , and then click Configuration . Select the Production tab, then click Shop Clock.
  2. In the Non-RO Activities box:
  • Add an activity:
    Click Add.
    In the ADD Activity dialog box, enter a description of the activity.
    Click OK.
  • Edit an activity:
    Select an activity in the list, and then click Edit.
    In the EDIT Activity dialog box, change the activity name as desired.
    Click OK.
  • Delete an activity:
    Select an activity in the list, and then click Delete.
    Click Yes to confirm.
  • Import an existing list of activities. If you have a list of activities in a .CSV format, you can import it to create or add to this list. This is normally used for multi-shops where the main shop has set up the activities and exported them to a .CSV file. Use that .CSV file to import the non-RO activities to the remaining shops.
    Click Import.
    In the Select your List File dialog box, navigate to the directory that contains the list file.
    Click Open.
  • Export this Non-RO Activities list to a .CSV file. If you are a multi-shop organization, you may want to set these items up for one shop, and then export them so they can be imported to other shops.
    Click Export.
    In the Select your List File dialog box, navigate to the directory where you want to save the file.
    Optional - change/adjust the File name, if desired.
    Click Save.
  1. Click Update to save your settings. When you leave this tab, you will get a message to restart RepairCenter to apply the changes. If you have additional configuration settings to add, click No until all your configuration changes have been completed. Then, when the message appears again, click Yes. 

Additional Shop Clock Settings

Additional settings are needed to further control how Shop Clock will work for your shop's needs.

ClosedUser Setup - Multiple Jobs and View only Assigned ROs

  1. Click More , then click Configuration . Select the Application Access tab. The Employees tab is open by default.
  2. Select the employee name from the list.
  1. Select the User Setup subtab in the bottom half of the window.
  2. If you want to allow this employee to be able to log into multiple jobs at the same time, select the Can clock into multiple jobs concurrently check box. This is often used for a painter who might be spraying parts for multiple vehicles at the same time.
    Note: For an employee to clock in to multiple jobs, it must be done at the same time; in other words, the employee must select all the jobs before clicking Clock In. Employees already clocked in to a job cannot clock in to a second job. Attempting to do so will automatically clock the employee out of the current job and clock him/her in to the second job.
    If an employee is clocked in to more than one job, the total hours spent during that session will be divided equally among the jobs in that session.
  3. If you want a particular employee to see only ROs assigned to him/her, select the Show only Assigned ROs in Shop Clock check box. This option is only available if you previously configured Shop Clock to allow technicians to clock into any job.
  4. Click Update to save the changes.

ClosedPermission to use Shop Clock

An employee's name will appear in the Shop Clock list only if he/she has the appropriate permission to use the Shop Clock. A technician must also have Payroll Rates set up. Permissions are set in the Application Access > Security Groups tab.

  1. Click More , then click Configuration . Select the Application Access tab. The Employees tab is open by default.
  2. Select the employee name from the list.
  1. Select the Permissions subtab in the bottom half of the window.
  2. Do one of the following:
  3. Select Technician System Group for a technician. A technician will be able to clock into both RO and non-RO activities.
  4. Do not select a security group if the technician will not be using the Shop Clock.
