Profitability
Use the Profitability tab under the Analytics menu to see the profit and loss data for each job. The sub-tabs under the Profitability tab are as follows:
- Gross Margin
- Margin by Vehicle
- Profit Center
- Threshold Analysis
- Tech Productivity
The above tabs are read-only, but you can refine the information that appears in the windows by setting specific filter criteria.
How to

The filtering options provided on the Profitability tab provide a variety of ways to view only the information you are seeking. Most of the filters are available on all of the tabs under Profitability; the filtering criteria works the same on all of the sub-tabs.
Date Range Filter
- Access the date range filter at the top of the tab.
- Select the type of job in the Date field list. (The choices in the list vary, depending on the tab you are viewing.)
- Select the date range from the calendars in the date fields.
- Click the Apply Filter button to implement the date filters.
Note: This date range setting applies to all the Profitability sub-tabs. When you change it in one sub-tab, it changes in all of the sub-tabs.
Status Filter
- Access Status by clicking on the down arrow next to the field.
- Select either All, Closed, or Open; this status refers to the status of the job (see image above).
- Click the Apply Filter button to implement the status filter.
Note: This Status filter applies to theGross Margin sub-tab.
Additional Filters
- Access the Select list to the right of the Status field.
- Select either All, Make, Estimator, Insurance Company, or Agent.
- The default selection is All. When you select one of the other options from the list, an additional field is provided to choose additional criteria. For example, if you select Make, a having field appears with a list of various vehicle makes from which to choose (see image above).
- Click the Apply Filter button to implement these additional filters.
Note: This Select criteria applies to the Gross Margin sub-tab.

Use the Gross Margin sub-tab to view gross margin information in the main section of the tab and summary totals in the bottom section of the tab. The filters are applied for this tab as described in the Set Filters section above.
- Select the type of job in the Date field list: In, Out, Started, Completed, Delivered, or Closed.
- Click the Ranges button at the top right of the tab to view a box that displays a graphical Job Range Analysis.
- Enter the number of jobs you want included in the job range analysis by entering a number in the Total Number of Jobs field.
- Click on either Profit Dollars or Hours to indicate what data should be included in the analysis.
- Click the Print Preview button in the box to see a preview of the Profitability by Job Range report generated by the analysis.
- While the report
is displayed on your screen, click the printer icon
to send it to your printer.
- Click the Exclude by Job Type button at the top right of the tab to view a box that allows you to choose Exclusions by Job Type.
- Click the check box next to the types of jobs you would like to exclude from the gross margin data; click the OK button in the box. This will limit the types of jobs displayed in the tab and in reports.
- In the bottom section of the tab, summaries of gross margin totals appear. Click either the by Actuals or by Flagged field to specify how the Profit/Hr should be calculated.
- Click the Print button at the top right of the tab to print a report of Profitability by Job Range for the job type specified in the Date field (In, Out, etc.).
- While the report
is displayed, click the printer icon
to send it to your printer.
- Select the Summary Only check box next to the Print button to limit data to summary information.

Use the Margin by Vehicle tab to view closed job information and to see profit and efficiency per vehicle for the filtered date range. (See Set Filters above.) Data includes vehicle info, hours, estimated and actual list amounts, cost, and effective percentage. Information is also given for profit by hour for either actual or flagged hours.
- Select the type of job in the Date field list: In, Out, Started, Completed, Delivered, or Closed.
Note: The information contained in this tab defaults to closed jobs.
- Access the Select list to the right of the Out Date calendars.
- Select either All, Make, or Model. If you select something other than All, a having field appears to the right, offering a list of criteria to choose from.
- Click the Apply Filter button to implement these additional filters.
- In the bottom section of the tab, select either Actuals or Flagged to specify how to view profit per hour for a vehicle (View Profit/Hr by).
- Click the Print button at the top right of the tab to see a print preview of the profitability report by vehicle.
- While the report
is displayed, click the printer icon
to send it to your printer.
- Select the Summary Only check box next to the Print button to limit data to summary information.

Use the Profit Center tab to view a breakdown of profit by profit center; data includes hours, estimate and actual list amounts, cost, effective percentage, and job type. Information is also given for profit per hour for parts, labor, and services.
- Select the type of job in the Date field list: In, Out, Started, Completed, Delivered, or Closed.
Note: The information contained in this tab defaults to closed jobs.
- In the main section of the tab, you can view information such as Type, Profit Center, Num(ber of) Hrs, Act(ual) Hrs, etc.
- In the bottom section of the tab, you can view summary information in the categories of Parts, Labor, and Services.
- In this bottom section, in the View Profit/Hr by field, select either Actuals or Flagged to specify how to view profit center information.
- Click the Exclude by Job Type button at the top right of the tab to view a box that allows you to choose Exclusions by Job Type.
- Click the check box next to the types of jobs you would like to exclude from the profit center data; click the OK button in the box. This will limit the types of jobs displayed in the tab and in the report.
- Click the Print button at the top right of the tab to see the Profit Center report.
- While the report
is displayed, click the printer icon
to send it to your printer.
- Select the Summary Only check box next to the Print button to limit data to summary information.

Use the Threshold Analysis tab to negotiate price caps that might be costing your shop a certain amount of jobs. The analysis is based on the Out Date of the jobs, which is specified in the date fields at the top of the tab.
- Select the type of Profit Center in the list at the top of the tab (Parts New, Parts Used, etc.).
- From the Select list, select All repair orders, or show only those for a specific vehicle Make, Estimator, Insurance Company, or Estimating System. If you select something other than All, a having field appears, offering a list of criteria to choose from (such as various vehicle makes or estimating systems).
- In the main section of the tab, you can view information such as RO number, Last Name, F (First Name), vehicle information, Estimator, estimating system (ES), etc.
- Check the value in the Review column to view the estimated sales dollars for each job in the selected category.
- Check the Hours column to view the estimated hours for the selected category.
- In the bottom section of the tab, you can view summary Results regarding the threshold: Num Jobs, Avg Job ($), Above Threshold, Below Threshold, Category Total.
- In this bottom section, change the value in the Threshold field.
- Click either Dollars or Hours to specify how jobs have been affected by a change to the threshold.
- Click the Print button at the top right of the tab to see a print preview of the threshold report.
- While the report is displayed, click the print icon
to send it to your printer.
- Select the Summary Only check box next to the Print button to limit data to summary information.
Note: Jobs that are above the threshold have pink repair order numbers; jobs below the threshold have blue repair order numbers.

Use the Tech Productivity tab to view profit and efficiency per technician for the filtered date range. (See Set Filters above.)
- Select the type of job in the Date field list: Posted or Closed.
This tab defaults to Post in the Date field.
- In the main section of the tab, you can view information such as hours, cost, profit, effective percentage, etc.
- In the bottom section of the tab, you can view summary technician productivity information.
- In this bottom section of the tab, in the Profit/Hr field, select either by Actuals or by Flagged to specify how to view productivity information.
- In this bottom section of the tab, click either Calc Profit by Flg Hrs or Calc Profit by Asn Hrs to specify how profit should be calculated.
- Click the Print button at the top right of the tab to see a print preview of a profit and efficiency report per technician.
- While the report
is displayed, click the printer icon
to send it to your printer.
- Select the Summary Only check box next to the Print button to limit data to summary information.
