Retrieve Assignments

Select repair facilities have the option of retrieving insurance company assignments by different combinations of VIN, Claim Number, License Plate, Last Name, Registration Number. These options vary by insurance company partner. In addition, select repair facilities have the option to retrieve Supplement Assignments. Some users can also retrieve assignments (pull assignments) with the Estimate ID. Select staff appraisers can also use the Next Assignment feature to retrieve unassigned Photo Based Estimate assignment.

Note: These features are not available to all users. Check with your insurance company partners or review your workflow guides to confirm existing workflow.

How to

  1. In Mitchell Connect, on the Jobs list, click Retrieve, and then click Assignment.

  2. In the Retrieve Assignment window, select the insurance company in the Insurance Company list.

  3. Enter the VIN in the VIN field or Claim Number in the Claim Number field.

    Note: These options may vary by insurance company partner.

  4. Enter Contact Last Name, License Plate, or BC Registration Number.

  5. Click Retrieve Assignment.

  6. Do one of the following:

  • If there is only one matched assignment: Close the message prompt and refresh the Jobs list. The assignment appears in the Jobs list.

  • If there are multiple matches: In the Retrieve Assignment window, click the check box next to the desired assignment, and then click Retrieve Assignment. Click Done to close the message prompt and refresh the Jobs list. The assignment appears in the Jobs list.

  1. On the Jobs List or Tasks List, click Retrieve, and then click Assignment.

  2. In the Retrieve Assignment window, enter the full claim number with suffix in the Search box, and then click .

  1. Do one of the following:

  • If there is only one matched appraisal assignment: Close the message prompt and refresh the Jobs list. The appraisal assignment appears in the Jobs list.

  • If there are multiple matches: In the Retrieve Assignment window, click the check box next to the desired assignment, and then click Retrieve Assignment. Click Done to close the message prompt and refresh the Jobs list. The supplement assignment appears in the Jobs list.

  1. On the Jobs List or Tasks List, click Retrieve, and then click Estimate.

  2. In the Retrieve Estimate window, enter the full claim number with suffix in the Search box, and then click .

  3. Do one of the following:

  • If there is only one matched supplement assignment: Close the message prompt and refresh the Jobs list. The supplement assignment appears in the Jobs list.

  • If there are multiple matches: In the Retrieve Assignment window, click the check box next to the desired assignment, and then click Retrieve for Supplement Assignment. Click Done to close the message prompt and refresh the Jobs list. The supplement assignment appears in the Jobs list.

Non-Program Shops can pull an assignment by the Estimate Retrieval ID that appears on the estimate PDF.

Note: This feature is limited to assignments from select insurance companies. This feature is not available to all users. Review the available workflow guides or check with you insurance company partners to see if this feature is available.

  1. On the Jobs List or Tasks List, click Retrieve, and then click Estimate.

  2. In the Retrieve Estimate window, select the insurance company in the Insurance Company list.

  3. Enter the Claim Number and the Estimate Retrieval ID, then click Retrieve Estimate.

  4. Estimate information appears in the Retrieve Estimate window. Click X to close the window or click Retrieve Another Estimate to retrieve another estimate.

Staff Appraisers may complete tasks early or have some spare time in their day due to the cancellation or early completion of other tasks. In these instances, Staff Appraisers can retrieve additional unassigned Photo Based Estimating assignments from the Dispatch Center queue in WorkCenter.

Note: This feature is not available to all users. Check your available workflow guides to see if this feature is utilized in your workflow.

  1. On the Tasks List, click Next Assignment.

  2. In the Next Assignment window, select the Dispatch Center you want to pull assignments from in the Select Dispatch Center list.

    Tip: Type the name of the Dispatch Center in the Select Dispatch Center box to find the dispatch center faster.

    Note: The list of Virtual Supplement Group (VSG) Dispatch Centers and PBE Dispatch Centers appear in the list. Select a VSG Dispatch Center or PBE Dispatch Center to pull an assignment available to the respective Dispatch Centers. DC type is added next to the Dispatch Center name in the list to distinguish between VSG and PBE.

    Additionally, the system preserves the previously selected Dispatch Center so you do not have to select it every time you want to pull assignment from the same DC.

  3. Click Next Assignment.

  4. A banner appears with the claim number while the retrieval is processed. Refresh the page to view the new supplement assignment in the Tasks List.
