Create New Estimate Profile

Use the Estimating section of the Settings page in Mitchell Connect to create or add a new estimate profile.

How to

  1. On the navigation pane in Mitchell Connect, click Settings.
  2. On the Estimating card, click Estimate Profiles.
  3. The Estimate Profiles you have already created are visible. Click + Estimate Profile.

  4. In the General tab, type the Profile Name and Description in the appropriate fields.
  5. If applicable, enter the applicable information in the following fields:
    • Legislation State
    • Primary Template (Long Expansion)

    • Linked Compliance Profile - If configured by the insurance company using WorkCenter, the selected compliance profile name displays in this field and is used for estimating compliance checks

  6. Under Indicators, enter the applicable information in the following fields:
    • Total Loss threshold percentage
    • Days to Repair labor units per day value
  7. Click each tab and add the necessary information to the profile. Tabs include General, Labor/Tax Rules, Calculations, Adjustments, Messages and Remarks, Print Preferences, and Parts.
  8. When you are finished making changes, click Save.
  1. On the navigation pane in Mitchell Connect, click Settings.
  2. On the Estimating card, click Alternate Part Profiles.
  3. Click + Parts Profile.
  4. Type a profile name and description. Set an optional default profile location.
  5. Click Save and Next: Aftermarket.

  6. Select Yes to enable aftermarket parts in the profile. Deselect any items that you do not want to be included as an aftermarket parts option.
  7. Click Save And Next: Select Vendors.

  8. Click + Add Vendors to add new aftermarket parts vendors.
  9. Click Save and Next: Recycled Parts.

  10. Select Yes to enable recycled parts in the profile. Deselect any items that you do not want to be included as a recycled parts option.
  11. Click Save And Next: Select Vendors.

  12. Click + Add Vendors to add new recycled parts vendors.
  13. Click Save And Review.

  14. Check the profile overview and click Done when you are finished.

    The new alternate parts profile is on the Alternate Part Profiles page.

  1. In the Estimate Profile, click the Labor/Tax Rules tab. Click Edit.
  2. In the Labor Rates section, type the dollar amount for each labor type and/or specify a user-defined name for the fields with the editable pencil icon next to them (such as User Defined 1 or Carbon Fiber).

    Tip: You can rename the User Defined and Carbon Fiber labels up to a length of fifty characters and used throughout estimation (e.g., when adding a Manual Line, you can select one of these labels in the Type drop-down for their unique labor rates which then shows on the Estimate PDF and Delta Report).

  3. In the Taxes section, select either Flat Tax or Tiered Tax.
    1. For Flat Tax, select the options that the flat tax applies to: Labor and/or Parts & Costs. Enter the tax percentages for Labor Tax and Parts & Costs Tax in the appropriate fields.
    2. For Tiered Tax, enter the percentage and dollar threshold.

    If a lookup table with a customized and populated Tax Type or Tiered Tax type field was created in WorkCenter, the results can be dynamically fetched and displayed in the Taxes section of the Labor/Tax Rules tab. See the WorkCenter Online Product Help Documentation for additional information.

    Note: In some Canadian provinces and US states, the sales tax may have up to four decimal places. Enter the value with four decimals in the GST/ PST, HST, Labor Tax, and Parts & Costs fields as needed.

  4. In the Taxable Settings section, select the applicable items in the Labor, Parts, and Additional Costs categories.

    5. The Labor, Parts, and Additional Costs categories can be disabled on the estimate if desired. If you do so, an X indicates that taxes are not applied to that category.


  5. Once all selections and entries have been made, click Save.

Note: For additional information on any of these settings, please review the Reference section at the bottom of the page.

  1. In the Estimate Profile, click the Calculations tab.

  2. In the Refinish Calculations section, review the default percentages and units for the refinish items and edit them if necessary.

    The refinish adjustment you set in the Estimate Profile, can be applied when you modify any refinish lines in the estimate. The refinish adjustment reduces or increases the refinish time provided by the Collision Estimating Guide (CEG).

    From the base refinish, configure the following percentage and/or unit options:

    • Clear Coat

    • Three Stage

    • Two Tone

    • Blend

    • Finish Sand & Buff

    • De-Nib & Finesse

    • Refinish Adjustment

  1. In the Paint / Material Calculation Rates section, enter the available rate types for:
    • Paint - Rate, Rate Max, Additional Rate, and Maximum Allowed
    • Shop - Rate and Maximum Allowed
    • Hazardous Waste - Rate and Maximum Allowed
    • Glass Materials - Rate
  2. In the Paint / Material Included Options section, configure the applicable options:

  • Non Repair Lines – Include or exclude non-repair lines when calculating shop materials. Refinish lines are excluded.
  • Paint Limit Explanation Lines – Include or exclude an explanation line when paint limit is exceeded.
  • Clear Coat Labor Time – Include or exclude Clear Coat Labor Time for Interior Structures. This setting does not apply for Commercial Vehicles.

  1. In the Paintless Dent Repair (PDR) section, configure the applicable options:
    • Automatic PDR Explanation Lines – Automatically Include or exclude PDR explanation lines when PDR repair lines exist.
    • Automatic PDR Sublet Adjustment – Automatically apply adjustment rate on PDR sublet lines. Ensure the Adjustments tab has the Sublet part adjustment percentage set on the same Estimate Profile.
  2. In the Diagnostics and Calibration section, configure the applicable options:
    • Recommended Calibration Lines – Automatically include or exclude recommended calibration lines.
  3. In the Repair Breakeven section, configure the applicable options:
    • Repair Breakeven Minimum Threshold – Set a minimum percentage threshold (between 50% to 100%) for recommending Remove & Replace (R&R) instead of a Repair labor operation. By default, it is set to 100% but can be changed as desired.
  4. When you are finished making changes, click Save.

 

The set threshold value will be used when the total clear coat is calculated for all repair lines. Mitchell Cloud Estimating will not allow the clear coat value to be higher than the threshold value set in the estimate profile. On the estimate page, preview, and printout, an asterisk (*) will mark the clear coat line along with an explanation to indicate that a preset threshold has been enforced for clear coat.

  1. In the estimate profile, click the Calculations tab.
  2. In the Refinish Calculations section, fill in the desired Clear Coat percentage for Panel 1, Panel 2, or number of units for Panel Max, and Estimate Max. You can enter any positive value between 0.0 - 99.9.
  1. Click Apply Changes.
  2. In the estimate editor add the repair lines. The system consolidates the entire clear coat labor units into a single line taking into consideration the overlap rules. The clear coat value will be calculated as usual until the estimate max value is reached.

    When the maximum value is reached, The asterisk (*) sign is automatically displayed next to the units value in the clear coat line to indicate the system updated the value to the maximum allowed.

If your role is enabled for the lookup table functionality for estimate profiles, you can configure lookup tables for any given field in the profile (e.g., Taxable Settings). This will allow the lookup table wizard to apply the estimate profile correctly, based on the fields specified in the profile.

To configure the lookup table wizard, you must be in WorkCenter with a Lookup Table manager role (LTMANAGER).

The fields that have Lookup Tables set up for them have the -- symbol as the value in the estimate profile and in the Settingssection in Mitchell Connect. To view the values that are associated with the job (due to hierarchy, zip code, etc.), navigate to the estimate profile from the estimate.

Note: The Group and Sub-Group fields on the Lookup Table Wizard are automatically selected based on the fields that table is being applied to.

  1. In the estimate profile, click the Adjustments tab to make adjustments to parts.

  2. In the Adjustments section, configure the applicable options:
  • Add markup or discount (-) – Any markup or discount added below will apply to all parts added in Mitchell Cloud Estimating.
  • Pre-Tax Discount – Any discount added here will apply to Parts, Labor, and Costs individually. The discount does not apply to Tax amount.
  1. In the Display Options section, configure the applicable option:
  • Show/Hide Markups or Discounts – Determine whether or not profile driven Markups and Discounts will display in the repair lines of the estimate. Markups and Discounts will always be calculated in the itemized total and displayed on the estimate printout.
  1. When you are finished making changes, click Save.

Note: The markup or discounts you set in the Estimate Profile apply to all parts added in Mitchell Cloud Estimating.

In the Messages and Remarks tab of the estimate profile in Mitchell Cloud Estimating you can add commonly-used messages and remarks that will be included in every estimate created with the profile. This allows you to save specific messages that will appear on the estimate. You can type the message in the message boxes, or add saved text messages that have already been created. Visit the "Shop Settings" topic for instructions to createsaved textfor the messages and remarks section.

In the Messages and Remarks tab, when editing, make changes to the following information as needed:

  • Messages can be printed on every estimate for this profile.

  • Separate Messaging for Related and Unrelated Estimates
  • Saved Text Messages

Select the check box to enable separate messaging for Primary, Related, and Unrelated estimate types in the estimate profile. You can type the message in the message boxes, or add saved text messages that have already been created. Visit the "Shop Settings" topic for instructions to create saved text for the messages and remarks section. This messaging will be included in the estimate printout.

Saved Text Messages

Note to Staff Appraisers: Saved Text created can be used by all other staff appraisers. Only the original author can edit and delete the text. However, staff managers can update or delete predefined text created by any staff user.

Note to Shop Users: Saved Text created is only available to the shop you use.

  1. Click the Estimate Profile icon and click the Messages and Remarks tab to add messaging to printed estimates created using this profile.
  2. Click Edit and then click + Add Saved Text in each section.

    In the Predefined Text window you can search for existing predefined text. To sort the predefined text, click the Sort By list and select: Title, Updated Date or Created By. You can also sort alphabetically.

  3. Select the predefined text you want to use and click Insert. You can select multiple messages to add to the estimate profile at once. Messages appear in the order they were selected. Messages can be re-ordered on the estimate profile with the arrow icons.


  5. Click Remove to delete predefined text from the estimate profile.

    6. Note: Shops working on assignments for insurance companies that have predefined text will see both a Company tab and a User tab when adding text to the estimate profile.

Insurance companies can set whether or not appraisers have access to edit Messages in the Estimate Profile settings. In WorkCenter, navigate to the Message and Remarks page of the Estimate Profile. Activate or deactivate the Allow Appraisers to Edit toggle depending on your company requirements. If the setting is deactivated, appraisers in Mitchell Cloud Estimating see read-only text in the Estimate Profile Message and Remarks section when editing the settings.

Insurance companies can set whether or not appraisers have access to edit Estimate Styles in the Estimate Profile settings. In WorkCenter, navigate to the Print Preference Estimate Styling tab on the Estimate Profile. Activate or deactivate the Allow Appraisers to Edit toggle depending on your company requirements. If the setting is deactivated, appraisers in Mitchell Cloud Estimating see read-only text in the Estimate Profile Message and Remarks section when editing the settings.

You can modify settings on the Print Preferences tab for the selected Estimate Profile in order to customize the information displayed on the customer estimate report/printout. As long as the correct Estimate Profile is applied, results of these changes can be viewed, printed, shared, and exported on the PDF Preview tab of the Estimate Editor.

Follow the steps to customize the estimate report/printout:

  1. On the navigation pane in Mitchell Connect, click Settings.
  2. On the estimating card, click Estimate Profiles and then click + Estimate Profile. (Alternatively, create or modify an estimate profile in WorkCenter or within an estimate.)
  3. Click the Print Preferences tab of the Estimate Profile.

  1. Make changes to the Print Preferences tab as desired:

    • Estimate Customization - Information that prints on the estimate header that you give to customers. The sections include:
      • Estimate Header - Logo, Header Information, and Total Loss.
      • Contact - Owner, Claimant, Insured, Appraiser/Supplementer, Insurance Adjuster, Insurance Carrier, and Underwriter.
      • Insurance - General Information and Additional Information.
      • Vehicle - Vehicle Information.
      • Additional Information - Additional Content included below the estimate lines and Parts Profile Information includes or excludes Parts Profile details above the estimate lines.
    • Report Configuration - Include additional documents when your estimate is shared such as related prior damage, unrelated prior damage, supplement delta report, and refinish materials calculator report.
    • Estimate Styling - Edit size, weight, alignment, and indent of the front in the Messages and Disclaimer text sections and set the page margin width.
      • Messages and Disclaimer Text - Messages: Top of Estimate, Messages: End of Estimate, Remarks, Alternate Part Disclaimer, and Fraud Disclaimer.
      • Page Margins - Left and Right margin width for PDF printout.

Note: Selecting and deselecting options determines if the fields will be displayed/printed on the estimate report/printout.

  1. Navigate to an estimate that is using the estimate profile.
  2. Click Preview in the left navigation panel to view the estimate report/printout. Notice that any changes made to the \ section of the Estimate Profile are applied appropriately.
  1. In the estimate profile you are creating, click the Parts tab.
  2. In the Alternate Parts Profiles section, select the alternate parts profile to apply from the list.
  3. Set the vehicle age (in years) and the odometer reading to determine when an alternate parts search will be enabled. You can also select the conditional aspects of how the vehicle age and odometer are applied to alternate part profile selection. You can choose the OR selector so that you can apply an alternate parts profile based on the vehicle odometer reading OR the vehicle age. Select from the following conditional options:
    • Less Than
    • Less Than or Equal To
    • Greater Than
    • Greater Than or Equal To
    • Not Equal To

    Note: If you do not set the vehicle age or odometer reading, the alternate parts search will be enabled for all vehicles.

  4. Select the profile that will be used for all other scenarios.
  5. In the Alternate Parts Search Rules section, configure the settings for the following features as desired:
    • Part Auto-Substitution - edit automatic part preferences.
    • Days to Deliver Preferences - enabled or disabled depending on the Part Auto-Substitution settings. When Part Auto-Substitution is ON, choose the day range for the delivery of alternate parts.
    • Vehicle Age Calculator - determine how the vehicle age will be calculated for alternate parts profiles.
    • Required Part Comparison - require a parts comparison for parts over a dollar amount you set.
    • Recycled Parts Search Preferences - determine the source of recycled parts in a search.
      • All Interchange Parts - default setting resulting in widest search.
      • [#] Years Before Model Year Or Newer - filters recycled parts from Alternate Parts Vendors by selected year range from the Model year of the vehicle.
      • Same Model or Newer - fewer part matches in search.
      • No Interchange Parts - least recycled part matches in search.
    • QRP Search Preferences - Exclude the highest and lowest price parts for auto substitution.

  1. In the Custom Part Labels for Estimate Printout section, customize the report labels and their descriptions that appear on the estimate printout in order to comply with state regulations.

  2. Click Save when you are finished creating the estimate profile.

    • 3 Business Days Or Less
