The Notes Tab – Opportunities

Use the Notes tab to create notes and view system notes for a job. System notes record the automatic communications that occur between an insurance company's system and RepairCenter throughout the repair process.

Create notes to easily share information with insurance or communicate with other shop employees. To ensure everyone in your shop sees a note, make it critical.

How to

  1. On the toolbar, click Jobs, then click List View.
  2. On the List View tab, double-click to open an opportunity.
  3. In the open opportunity, click the Activity tab. The Activity tab opens to the Notes tab.

  3. In the open opportunity, click the Activity tab. The Activity tab opens to the Notes tab.
  1. On the Notes tab, click Add Note.
  2. Under New Note, in the Type list, click a note type.
  3. In the Name box, type a name for the note.
  4. In the box to the right of the Name box, type the note text.

  • To make the note critical, select the Critical check box.

    Note: You can share the note with insurance after you've saved it. See "Share a note with insurance" later in this topic.

  1. Click Save to create the note.
  1. On the toolbar, click Jobs, then click List View.
  2. On the List View tab, double-click to open an opportunity.
  3. In the open opportunity, click the Activity tab. The Activity tab opens to the Notes tab.
  1. On the Notes tab, click to select a note.
  2. Select the Critical check box. Under Opportunity, an asterisk (*) appears in the C column, indicating that the note is critical.

Note: Once you share a note, you cannot "unshare" it.

  1. On the toolbar, click Jobs, then click List View.
  2. On the List View tab, double-click to open an opportunity.
  3. In the open opportunity, click the Activity tab. The Activity tab opens to the Notes tab.
  1. On the Notes tab, click the note to select it.
  2. Under Existing Note, select the Share with Job Partners check box. The Existing Note area appears dimmed and is now unavailable because the note has been shared.
  1. On the toolbar, click Jobs, then click List View.
  2. On the List View tab, double-click to open an opportunity.
  3. In the open opportunity, click the Activity tab. The Activity tab opens to the Notes tab.
  1. On the Notes tab, click to select a note. To select multiple notes, hold down Ctrl while clicking each note.
  2. Click E-mail. A draft email appears.

    The subject line and the body of the email automatically include information about the job and the note details, which you can edit.

  3. Enter an email recipient, and then send it.

Window components - the Notes tab

Name Description

Date

The date and time the note was created.

Name

The name of the note.

Author

The name of the user who created the note or System, if the note is automated.

C

An asterisk (*) in this column indicates that the note is critical.

Type

Displays the note type.

Shared

If your shop is licensed for Communications, a Y in this column indicates that a note was shared with your insurance partner. If it hasn't been shared, this column is blank.
Name Use

Use this button to refresh the tab.

Add Note

Switch the Existing Note section at the bottom of the window to the New Note section, where you can create a new note.

E-mail

Email one or more notes.

Save

Completes the creation of a new note.

Cancel

Cancel the creation of a new note.

Update

Save changes to an existing note.
Name Description

Type

Indicates the type of note, such as Status for Customer or Parts.

Name

The name of the note.

Critical

Indicates whether a note is critical.

When a job includes a critical note, the Critical Note symbol appears in the Notices column and elsewhere throughout RepairCenter so that many people notice it.

Critical notes are included on the Critical Notes Report #180.

Share with Job Partners

Indicates whether a note has been shared with insurance.

Note Text

The text of the note, such as "Successfully Accepted Appraisal Assignment."
