Parts - The Scrubber Tab

Use the Scrubber tab under the Parts tab in the Configuration window to reclassify parts that are classified differently in your estimating program than they are in RepairCenter.

For example, in your estimating program, the part type for Cover Car might be classified as Sublet, but it should be classified as Parts New. In this case, you would add Cover Car to the parts scrubber so that the type is automatically corrected from Sublet to Parts New whenever an estimate that includes Cover Car is imported into RepairCenter.

Different estimating programs may also spell or punctuate a part differently. Create a scrubber line for each variation. For example, a particular estimating program may write Flex Add, while another program writes FLEX ADDITIVE. In this case, create two scrubber lines, one with Flex Add as the description and the other with FLEX ADDITIVE.

Note: If you want to scrub an item to Sublet, the Sublet? check box on the Item/Dept of Sublet section in the Profit Center must be selected. Access Profit Center at: Configuration > Accounting > Profit Center.

Warning: Avoid adding parts that have identical names but different types of statuses. This creates problems in RepairCenter when a job with scrubbed parts is worked on.

Tip: Edit the parts scrubber regularly to maintain proper job costing percentages, sales account postings, and vendor information.

How to

Before you start using the scrubber, be sure your chart of accounts (COA) includes a parts account.

  1. On the toolbar, click the More menu list at the top right; then select Configuration.
  2. Click the Parts tab, click the Scrubber tab.

  3. Click Add in the window in the middle of the tab. A new line appears, with the cursor in the empty Desc column.

  4. In the Desc column, type a description (as it appears in the estimating program).
  5. To change the part type, in the Part Type column, double-click Parts New, then click the appropriate type from the list.

  6. To change the part status, in the Status column, double-click Inventory, then click the appropriate status from the list.

    Note: We recommend setting a scrubbed part's status to Maintain. To learn all of your options, see Parts Status Explanation below under the Reference section of this topic.

  2. Click the Parts tab, then click the Scrubber tab.
  3. Double-click the item you want to edit, then type or select a new entry.

  3. Click to select the line you want to delete, then click Delete.
  4. In the PartsScrubDelete dialog box, click Yes to confirm the deletion.

Reference

All scrubbed parts must be entered in your estimating program exactly the same way each time, or they will appear in RepairCenter as multiple parts. To ensure consistency, we recommend putting all scrubbed parts in the same estimating program location and entering those parts by selecting them from a list.

Status Definition

Not Ordered

The default status for all parts that haven't been added to the parts scrubber.

Inventory

Indicates that you're taking this part from the shop inventory. This status is typically used for the clips and bolts the shop keeps in stock.

Maintain

This status is typically used with the parts scrubber to manage items such as hazardous waste and paint materials. When a part is added to the scrubber, we recommend setting its status to Maintain.

Hide

Hidden parts aren't listed on the Receive tab, and are excluded from the percentage of parts received that is displayed on the Whiteboard and Overview tabs.

In rare instances, a shop may configure the parts scrubber to hide the part so it isn't displayed on the Receive tab.

Note: Only parts with a status of Not Orderedcan be changed to Hide.
Returned Indicates that the part has been previously received (posted) and then Returned. When returning a part, a prompt appears asking if you will be ordering the part again. If you select Yes the status will show as Returned.
Returned/Zeroed Indicates that the part has been previously received (posted) and then Returned. When returning a part, a prompt appears asking if you will be ordering the part again. If you answer No the status will show as Returned/Zeroed.
